The position of the Assistant to the Associate Vice President for Strategic Partnerships organizes and manages division operations, overseeing budget and data needs, and supervising department team members. Strategic Partnerships encompasses High School Programs, Workforce Development, and other community partnerships, and this role is critical to developing and maintaining positive external relationships.

This leader will demonstrate a strong commitment to the value of diversity among students and staff, as well as sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, and ethnic backgrounds of PPSC students. The individual works together with colleagues to create an atmosphere of trust and respect in which all can succeed.

The college offers the possibility for alternative work arrangements such as flexplace, remote work, or flextime scheduling upon completion of training and department needs.

Minimum Qualifications

  • Bachelor’s Degree from an accredited institution OR an Associate’s degree with two years of professional level experience performing similar duties to those described for this position OR four years of professional level experience performing similar duties to those described for this position.
  • Experience managing projects.
  • Administrative and supervisory experience.
  • Experience with organizational financial processes and budgets.
  • Experience using word processing and spreadsheet software and calendar management tool.

Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge.  Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.

Preferred Qualifications

  • Successful experience preparing and analyzing budgets.
  • Successful experience identifying appropriate data elements for report preparation and analysis.
  • Experience in organizing and managing programs or organizational operations.
  • Experience leading projects.
  • Demonstrated ability to identify potential challenges and solve problems.
  • Demonstrated understanding of and appreciation for diverse populations.
  • Successful record of collaboration.
  • Demonstrated resilience and ability to embrace change in the workplace.

Essential Functions 

Division Operations Support

This position must exercise initiative, judgment and discretion in organizing and managing Strategic Partnerships team operations and ensure deadlines are met. This will incorporate implementing and overseeing team operations including developing, evaluating and modifying office operations to maintain efficiency and ensure professional standards are met, coordinating and directing work activities and events, and collaborating with internal and external partners to improve operations and customer service.

Supervision

This position is responsible for overseeing the supervision of administrative assistants and similar staff. This includes providing support and training, scheduling and coordination of division administrative support and staff coverage, and overseeing the assigned duties for both quality and completion. This position will be responsible for maintaining a professional environment with high customer service standards for those being served. This position will oversee the development of goals and the completion of annual evaluation process for direct reports. This position will be responsible for investigating and resolving minor problems relating to rules, regulations and procedures as well as issues concerning office support.

Budget and Agreement Support

This position will oversee the High School Programs and Workforce Development teams’ budgets and supervise the quality and completion of the budgetary needs. This position will prepare budget reports, provide budget analysis and coordinate budget initiative requests. This position includes oversight of division OCE and auxiliary accounts as well as division and department purchasing procedures. This position will work in coordination with Financial Services, Business Services, Procurement, and Information Technology Support Services. Ensuring agreements such as revenue contracts and memorandums of understanding, are current and invoiced appropriately is another responsibility of this position.

Data Support

This position will oversee division data needs and supervise the quality and completion of the data needs. This position will prepare data reports, provide data analysis and oversee division databases. This position will work in coordination with the Institutional Effectiveness department.

Special Projects

This position will undertake special projects based on the needs of the High School Programs and Workforce Development teams and determined by the Associate Vice President.

  • Demonstrated ability to use various computer programs and applications.
  • Demonstrated the ability to analyze and prepare budgets and data reports.
  • Demonstrated understanding and commitment to diversity, multiculturalism, and their application in the workplace.
  • Ability to perform at a high level, and with a calm and positive demeanor, in a fast-paced and stressful environment.
  • All other duties as assigned by the Associate Vice President of Strategic Partnerships.
