The High School Programs Specialist provides vital operational, administrative, and communication support that ensures the smooth functioning of all program areas serving high school students and partners. The HSP Specialist provides accurate, timely, and compliant coordination across enrollment, articulation, course builds, grading, and student access. The position provides essential maintenance of records, systems, and workflows that uphold program integrity and promote a consistent, high-quality experience for all stakeholders. The role also provides support for the preparation, distribution, and management of materials, resources, communication channels, and cross-departmental processes necessary for effective program delivery. In doing so, this position provides increased efficiency, responsiveness, and operational capacity to the High School Programs team under the direction of the Assistant to the Senior Director. While the role is primarily campus-based to support team collaboration and partner engagement, some remote work may be negotiable in alignment with departmental needs, institutional policy, and the nature of assigned duties.
Minimum Qualifications
- Completed baccalaureate degree from a regionally accredited institution.
- Demonstrated organizational skills and ability to manage multiple complex projects, tasks, and deadlines simultaneously with accuracy.
- Two years of demonstrated experience using Microsoft Office, Student Information Systems, or similar systems.
Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge. Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.
Preferred Qualifications
- Experience with graphic design and the ability to create clear, professional, and visually engaging program materials.
- Familiarity with Colorado Community College System (CCCS) processes, high school concurrent enrollment, Career Start, Campus Pathways, or similar dual-enrollment programs.
- Experience coordinating enrollment, student services, or academic administrative processes in an educational setting.

Essential Functions
The High School Programs Specialist provides comprehensive operational support across enrollment, articulation, course builds, communication, and resource management to ensure seamless and accurate processes for students, partners, and instructors. This role maintains essential systems, records, and workflows that uphold program integrity, strengthen stakeholder communication, and contribute to a consistent, high-quality experience across all program areas.
- Prepare Career Start enrollment materials, including the upcoming school year calendar and updated programmatic flyers with requirements.
- Assist with Career Start Visit Days to ensure a smooth, clear, and consistent experience for students and partners.
- Support the Career Start registration processes, including application management, documentation review, prerequisite verification, and enrollment workflow coordination.
- Coordinate with the Student Experience/Learning Commons to arrange Career Start student ID cards and communicate schedule with instructors.
- Maintain the Master Enrollment List (per program and per district) for all completed applications (including waitlist status) and communicate placement with partners.
- Communicate with partners and students to confirm continued eligibility and interest in matriculation based on prerequisite completion and verification.
- Track, verify, and report credential completion information with partners.
- Maintain systems for monitoring student matriculation beyond their participation in Career Start.
- Compile and distribute the Career and Technical Act (CTA) Crosswalk to partners to support accurate reporting and required submissions.
- Support the various workflows associated with Articulation and Tested/Experience Rubrics.
- Maintain the master list of articulation agreements (including dates of eligibility) and update flyers accordingly.
- Support student/school/district articulation requests through coordination with various departments to assure correct records and billing.
- Maintain the master list of approved Campus Pathway instructors and support the onboarding processes.
- Maintain the course build process for all Career Start and Campus Pathway sections in compliance with FLAC deadlines (including special and truncated sections – i.e CPR)
- Verify accuracy and alignment of course builds through regular data extractions and cross-referencing.
- Ensure all high school students have the appropriate system and course access (CPR, Serve Safe, Cengage) in a timely fashion to support their success.
- Monitor and distribute final term grades to partner schools at the end of each semester.
- Maintain an up-to-date record of CTE Advisory Committee meeting dates and minutes.
- Compile and distribute updated Inclusive Access (IA) and Open Educational Resource (OER) lists to partners to support planning.
- Prepare and share the CTA Reporting Crosswalk needed for Career and Technical Act submissions.
- Oversee communication channels (including GECKO and HSP email address, main office phone and website) to assure timely, accurate and coherent communication with all stakeholders.
- Oversee inventory of Career Start materials and resources, including tracking supplies, equipment, and program assets.
- Conduct annual maintenance and advocate for the replacement of end-of-cycle or outdated materials.
- Ensure all program materials remain current, relevant, and aligned with instructional needs.
- Coordinate the distribution, collection, scheduling, and receipt tracking of all reusable supplies.
General Duties, Skills, Knowledge, and Abilities
- Ability to navigate differences effectively and respectfully in the workplace.
- Coordinate and support enrollment activities for Career Start and other High School Programs, including preparation of materials, application processing, and communication with students and partners.
- Assist with planning and facilitation of Career Start Visit Days and other outreach activities to ensure a consistent and positive stakeholder experience.
- Manage student documentation workflows, including prerequisite verification, eligibility confirmation, credential tracking, and communication of placement decisions.
- Maintain accurate and up-to-date master lists related to enrollment, articulation agreements, Campus Pathway instructors, and other program records.
- Support articulation and Tested/Experience Rubric processes through document coordination, data tracking, and interdepartmental communication.
- Assist with course build processes for Career Start and Campus Pathways, ensuring accuracy, timeliness, and compliance with institutional deadlines and requirements.
- Monitor student access to required systems, platforms, and learning materials; troubleshoot and coordinate with departments as needed.
- Collect, verify, and distribute final grades, credential data, and required reporting resources to partner schools and districts.
- Oversee High School Programs communication channels (email, phone, web forms, GECKO) to provide timely, accurate, and professional responses to partners, instructors, students, and families.
- Maintain records and documentation related to CTA, IA/OER resources, advisory committees, and other programmatic reporting needs.
- Track, organize, and maintain inventory of program materials, equipment, and reusable supplies; support distribution, collection, maintenance, and replacement cycles.
- Provide administrative support to the High School Programs team, including scheduling, file management, resource preparation, and general office operations.
- Contribute to the continuous improvement of High School Programs by identifying opportunities for greater efficiency, accuracy, and partnership effectiveness.
- Perform other duties as assigned to support the mission and strategic priorities of the High School Programs department and Pikes Peak State College.
