PURPOSE STATEMENT:

The High School Enrollment Specialist supports the operational and administrative functions of concurrent enrollment at Pikes Peak State College. This position is responsible for the back-end administrative processing and coordination required to register concurrent enrollment students, maintain accurate data systems, and facilitate communication between high school partners, students, and college departments. The High School Enrollment Specialist ensures efficient processing of enrollment operations, accurate student coding for reporting and billing purposes, and seamless coordination of sponsorships, bookstore vouchers, and other administrative tasks. This role supports the Assistant Director of High School Enrollment to support strategic initiatives while managing the detailed operational work that enables successful concurrent enrollment programs. All positions in the Student Services Division support and further the mission of Pikes Peak State College.

Ability to work at all four main PPSC locations (Centennial Campus, CHES, Downtown Campus, Rampart Range Campus) and in service area high schools.

Reports to: Assistant Director of High School Enrollment

Anticipated start date July 2026.

Minimum Qualifications

  • Completed Bachelor’s degree from a regionally accredited institution OR completed Associate’s degree from a regionally accredited institution with two years of professional level experience performing similar duties to those described for this position OR four years of professional level experience performing similar duties to those described for this position.
  • One year of experience in student services, enrollment services, or administrative operations in a related role.
  • Demonstrated experience with student records or data entry or management.

Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge.  Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.

Preferred Qualifications

  • Two years of experience in enrollment or related student services.
  • Experience with Ellucian Banner or other student information systems.
  • Experience coordinating with external partners such as school districts or community organizations.
  • Experience working with high school students or concurrent enrollment programs.
  • Bilingual in English and Spanish.

Essential Functions

Concurrent Enrollment Registration & Processing

Process and manage the registration of concurrent enrollment students for classes using the college's Student Information System (SIS), Ellucian Banner. Prepare and process class rosters for mass registration, ensuring accurate and timely enrollment of high school students. Troubleshoot technical and system-related issues regarding concurrent enrollment registration. Coordinate with high school partners, students, and parents to resolve registration discrepancies and ensure students are properly enrolled in their courses.

Student Account Management & Data Integrity

Code students accurately in Banner for proper admissions, reporting, billing, and compliance with concurrent enrollment program requirements. Update databases and spreadsheets with current and accurate student information. Make necessary changes to student records when receiving updated information from students, high schools, or other stakeholders. Maintain data integrity across multiple systems and ensure consistency of student records. Monitor and audit student records to identify and resolve coding errors or discrepancies.

Sponsorship & Voucher Coordination

Track and manage sponsorships for concurrent enrollment students, ensuring accurate billing and proper documentation. Process and coordinate bookstore vouchers, working with students, high schools, and the college bookstore to ensure timely distribution and proper usage. Maintain detailed records of sponsorships and vouchers for reporting and auditing purposes. Communicate with high school partners regarding sponsorship agreements and student eligibility.

Inter-Departmental Coordination

Serve as a liaison between high school partners, students, and various PPSC departments including the high school programs office in instructional services, student accounts, and other student services departments. Facilitate communication and information sharing to ensure smooth operations and positive student experiences. Coordinate with the high school programs office to align student services processes with high school programs' operations. Respond to inquiries from high schools, students, and internal departments regarding concurrent enrollment processes and student accounts.

Analysis and Reporting

Compile, analyze, and report on information related to concurrent enrollment operations. Track key metrics including registration numbers, sponsorship, and processing timelines. Evaluate processes and technology related to concurrent enrollment to improve efficiency and the student experience. Provide data and insights to support enrollment management and strategic planning efforts.

Support for Strategic Initiatives

Assist with recruitment and enrollment activities as needed. Support the development and execution of strategies to increase enrollment and retention of concurrent enrollment students. Participate in outreach events and activities that connect high school students and families to concurrent enrollment opportunities. Contribute to the assessment and improvement of concurrent enrollment services and processes.

Other Admissions, Recruitment, and Enrollment Services Activities

Participate in Admissions, Recruitment, and Enrollment activities. Serve on college-wide teams and committees as requested. Attend pertinent professional development workshops/conferences as timing and funding permits. Perform other duties and projects as assigned.

  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Understanding of equity and inclusion in higher education and the workplace.
  • Knowledge of student and enrollment services in higher education, particularly as it relates to high school students.
  • Ability to develop and maintain effective working relationships with high school partners, students, families, and college staff.
  • Strong organizational and project management skills.
  • Problem-solving skills and ability to troubleshoot operational issues.
  • Ability to work remotely or on-campus as needed.
