The Scheduling Coordinator is responsible for managing online course scheduling and providing administrative support to ensure operational efficiency and data accuracy. This role serves as the primary contact for building and maintaining online course sections in Banner, managing textbook cost attributes, and coordinating timely faculty assignments. The Coordinator acts as a liaison between academic divisions and stakeholders to streamline scheduling processes, lead user testing, and implement system improvements. Additionally, the position supports departmental operations by maintaining documentation, managing the internal procurement process, coordinating meetings, and providing backup support for Faculty Load & Compensation (FLAC) contracting and scheduling during peak times.
Minimum Qualifications

Completed Bachelor’s degree from regionally accredited institution OR completed Associate degree from
a regionally accredited institution with two years of professional level experience performing similar
duties to those described for this position OR four years of professional level experience performing
similar duties to those described for this position.
- Proficient knowledge of word processing, database and spreadsheet applications.
- Demonstrated ability to handle multiple tasks simultaneously while meeting targeted deadlines.
Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge. Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.
Preferred Qualifications
- Experience mapping, analyzing, and improving administrative or academic processes.
- Experience serving as a liaison between departments or stakeholders; capable of clearly conveying technical or procedural information to a variety of audiences.
- Prior exposure to academic scheduling or FLAC in higher education.
- Experience with Banner or other higher education student information system.

Essential Functions, General Duties, Skills, Knowledge, and Abilities
Colorado Online Scheduling: Serve as the primary point of contact for issues related to building Colorado Online course sections in Banner. Build new online home, wildcard and teaching sections, and complete cancellations as needed. Enter and maintain section attributes in Banner to indicate zero-cost or lowcost textbook usage, inclusive access materials, and other relevant course material cost indicators, in compliance with institutional and CCCS guidelines. Ensure course sections are accurately listed prior to registration open date. Coordinate with the Dean of Online Learning to ensure appropriate faculty/instructor assignments are submitted in a timely manner and enter assignment data in Banner.
Schedule Data Management: Act as a liaison between academic divisions and other stakeholders to support efficient scheduling operations. Lead the development and continuous improvement of scheduling process maps. Participate in user testing of the scheduling system and analyze any issues encountered during testing. Create and maintain building and room codes in the scheduling system as new instructional spaces are established. Develop, implement, and monitor key performance metrics to assess the efficiency, accuracy, and overall effectiveness of scheduling processes. Communicate critical deadlines and process updates to all relevant parties. Actively participate in CCCS and college-wide strategic scheduling groups and committees.
Administrative Support: Assist the Director in creation and maintenance of spreadsheets and other documentation which serves to track and organize departmental requirements. Serve as the department Procurement Card (P-Card) holder, adhering to institutional policies and procedures for purchasing and reconciliation. Act as a resource for departmental staff regarding administrative procedures and procurement guidelines. Order and maintain inventory of office supplies to support administrative operations. Track and manage supply budgets in coordination with department leadership to ensure responsible spending. Provide general administrative support to the department, including assisting with meeting coordination, document preparation, and records management. Support departmental initiatives and projects by gathering data, compiling reports, and maintaining organized files and records. Serve as a backup for Faculty Load & Compensation (FLAC) contracting and scheduling during high-volume or surge periods to ensure timely and accurate entry of faculty assignment data, course builds, cancellations or modifications.
