The Associate Director of Strategic Scheduling plays a critical role in facilitating college-wide strategic scheduling, coordinating annual course planning processes, and supporting instructional services initiatives. This position leads the strategic scheduling committee, comprised of instructional, administrative, and student services stakeholders, and acts as the primary application administrator for the Ad Astra course scheduling and academic planning software suite. This position will train stakeholders across the college to utilize Ad Astra for their roles, offers refresher trainings, and develops on-demand training tools and assessments. This position acts as the primary point of contact for functional troubleshooting for PPSC users, Ad Astra, and CCCS-IT for Banner integration troubleshooting. As a Power User of data analytics tools, the Associate Director provides guidance and recommendations to the president’s executive team, executive deans, eLearning department, and other academic department stakeholders in continuous development and implementation of operational scheduling that optimize efficiency and achieve strategic institutional goals. The role stays up to date on the latest software upgrades and new functionalities and incorporates them into PPSC and CCCS processes. The position monitors the performance of scheduling tools and business processes to optimize use across the college with the goal of offering student-centric schedules that prioritize student success, retention, and credential completion.

The college offers the possibility for alternative work arrangements such as flexplace, remote work, or flextime scheduling upon completion of training and department needs.

Minimum Qualifications

  • Completed Bachelor's degree from a regionally accredited institution.
  • Five years of professional level experience in strategic scheduling processes within a college or university setting, including the use of Ad Astra or a similar scheduling tool.
  • Demonstrated proficiency in research, data analysis, and reporting, with the ability to translate data into actionable insights.
  • Experience with Banner or a similar information system.
  • Proven experience in training, including the development and delivery of training materials and programs.

Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge.  Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.

Preferred Qualifications

  • Completed Master's degree from a regionally accredited institution in a related field such as education administration, business, or data analytics.
  • Experience leading cross-functional committees or teams in higher education.
  • Demonstrated experience in project management and process optimization, with a track record of leading successful initiatives.
  • Ability to read, write, and speak fluent Spanish.

Strategic Scheduling & Planning

Facilitate college-wide strategic scheduling and coordinate annual planning processes. Lead the strategic scheduling committee that develops annual student-centric schedules that prioritize retention, completion, and overall student success. Provide analysis based on schedule audits,

financial impact, and college initiatives to adjust course offerings and pathway structures as needed to improve scheduling effectiveness, meet operational needs, and support student success. Act as a Power User of the strategic scheduling software’s data analytics tools to provide strategic guidance and data-informed recommendations to academic and executive leadership.

Data Communication & Reporting

Develop, maintain, and submit comprehensive quarterly reports on scheduling efficiency and strategic planning outcomes to support data-informed decision-making among all stakeholders. Communicate complex data insights clearly and effectively to diverse stakeholders, including instructional and executive leadership, faculty, and staff. Collaborate with stakeholders to identify data needs and tailor reports to support strategic goals and initiatives. Present data findings and strategic recommendations in meetings, workshops, and training sessions to ensure alignment with college objectives. Utilize data visualization tools to enhance the clarity and impact of reports and presentations.

Training & Assessment

Train stakeholders across the college to utilize Ad Astra and other strategic scheduling tools in their roles, offer refresher trainings, and develop on-demand training tools and assessments.

Monitor performance and ensure optimization of scheduling tools and processes across the college.

Recommend and implement changes to scheduling processes and software based on the assessment of operations.

Application Administrator 

Act as the primary application administrator for the Ad Astra software suite and other strategic scheduling tools. Be the primary point of contact for functional troubleshooting for PPSC users and for Ad Astra and CCCS-IT for Banner integration troubleshooting. Stay up-to-date on the latest software upgrades and new functionalities, and incorporate these into PPSC processes.

Additional Department Activities

Serves on college-wide teams and committees as requested. Attends pertinent professional development workshops/conferences. Performs other duties and projects as assigned.

  • Ability to develop and monitor a one-college schedule that maximizes course accessibility with efficiency and meets the needs of 17,000+ PPSC students.
  • Ability to analyze data to make informed recommendations on which course types will contribute to student success.
  • Ability to make data-informed recommendations based on research and analysis of data market demands for current and new distance programs and the best online format (hybrid or hyflex).
  • Ability to develop reports of key performance indicators that identify scheduling issues and barriers and allow for timely and actionable decision-making by instructional services leadership.
  • In-depth knowledge of Ad Astra software suite, including its scheduling and data analytics functionalities.
  • Comprehensive understanding of strategic scheduling and annual planning processes in a higher education context.
  • Familiarity with Banner integration and troubleshooting.
  • Awareness of current trends and best practices in strategic scheduling.
  • Strong training and presentation skills, with the ability to develop and deliver effective training programs.
  • Excellent troubleshooting skills for resolving software and integration issues.
  • Strong project management skills to coordinate multiple initiatives and stakeholders.
  • Proficient in developing on-demand training tools and assessments.
  • Ability to communicate complex information clearly and effectively to diverse audiences.
  • Ability to understand and adhere to regulatory, legal, and compliance guidelines.
