The Enrollment Services Specialist position is responsible for providing admissions advising and enrollment services related to admissions, registration, records, and financial aid to prospective, new, and current students at Pikes Peak State College. This position is assigned a caseload of newly admitted students. Enrollment Specialists work with admitted students to provide detailed information about and help with the enrollment process, academic programs offered at the college, and work with students to complete the steps to enrollment.

Ability to work a flexible schedule including evenings and weekends to accommodate programming and outreach needs.

Willingness and ability to work at four main PPSC locations (Centennial Campus, CHES, Downtown Campus, Rampart Range Campus), and throughout the Pikes Peak region for recruitment purposes.

Reports to: Assistant Director 

Minimum Qualifications

  • Completed Bachelor's degree from a regionally accredited institution OR completed Associate’s degree with two years of professional level experience performing similar duties to those described for this position OR four years of professional level experience performing similar duties to those described for this position.
  • One year of professional level experience in admissions, enrollment, or other student services areas.

Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge.  Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.

Preferred Qualifications

  • Two or more years of professional level experience in admissions, enrollment, or other student services areas.
  • Demonstrated experience working directly with students in a student services setting. 
  • Ability to read, write, and speak fluent Spanish.

Essential Functions  

Admissions Advising Case Management The Enrollment Services Specialist manages a caseload of admitted students to advise them through enrollment processes and procedures to include: completing financial aid, paying tuition, setting up refund options, resolving issues related to residency, applying for and authorizing COF, using student-facing enrollment software, setting up student email, first term registration, and connecting students with their care network for long-term degree planning and support. The position conducts pro-active outreach via text, email, and phone to incoming students and is a resource for students throughout the enrollment process. Admissions advising sessions include conducting individual and group appointments as well as other enrollment programming/workshops to assist and empower students to successfully complete the enrollment process. Tracking interactions and reporting on outcomes are essential to quality case management.

Enrollment Advising The Enrollment Services Specialist provides high quality customer service to prospective, new, and current students; as well as PPCC faculty, staff, and the general public on all aspects of the enrollment process. The role provides direct service to students to determine the student’s needs, provide the service that meets their needs, or refers the student to the appropriate person or department. This position collaborates with faculty and staff to support ensure that changes in other areas of the college are reflected in the services provided to students in Enrollment Services. Enrollment Specialists provide comprehensive and detailed guidance for second level issues for Admissions, Recruitment, and Enrollment Services related questions as well as anything related to registering for classes. This includes but is not limited to questions/issues regarding: the admissions application, applying to the college, residency status, registration holds, the financial aid and scholarship processes, the enrollment process, cost of attendance, etc. Last exemption 2019

Prospective Students Admissions Advising Advise prospective students and their families to identify academic and career areas of interest, how those interests fit into an academic program at PPSC, assist them with applying to PPSC, resolving residency questions, applying for financial aid, and understanding the placement and registration process.

Document Processing Process student files and other documents received in support of helping students complete the enrollment process. Participate in quality control processes and procedures to ensure and improve document processing.

Additional Duties Establish and maintain notary license and notarize documents as necessary. Establish, measure, and provide regular reports related to supporting enrollment goals and operations. Participates in Admissions, Recruitment, and Enrollment activities. Serves on college-wide teams and committees as requested. Attends pertinent professional development workshops/conferences. Performs other duties and projects as assigned.

  • Demonstrated ability to network and build professional relationships with students, staff, faculty, and community members.
  • Knowledge of college processes, academic programs, and relevant state and federal policies and regulations. • Experience developing traditional or web-based programming materials for presentations, events, workshops, etc.
  • Knowledge of career assessments.
  • Knowledge of current labor market trends and career information resources.
  • Knowledge of Colorado residency classification law, policies, and procedures.
  • Knowledge of federal financial aid processes and procedures.
  • Demonstrated experience with student information systems and customer relationship management systems.
  • Daily proficiency in Microsoft Office applications, including the ability to design, create, and maintain forms, reference materials, databases, and training resources.
  • Proficiency with social media and messaging applications.
