The Third Party Specialist provides support to PPSC Financial Services Office in the Student Accounts area. Performs functions related to high school sponsor accounts, third party billing, and customer service.  This position completes a variety of accounting duties and reconciliations while ensuring compliance with College, CCCS, State, and Federal rules and regulations.

Reports To: Third Party Coordinator 

Minimum Qualifications

  • Bachelor’s Degree level from a regionally accredited institution in accounting, business or related field OR completed Associate degree with two years of professional level experience.
  • Proficiency in Microsoft Office, including Excel.

Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge.  Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.

Preferred Qualifications

  • Experience utilizing Banner or other financial reporting systems.
  • Experience in higher education setting.
  • Billing and invoicing experience.
  • Experience in reconciling and balancing payments/receipts.
  • Advanced experience in Excel, Microsoft Office.

Essential Functions

  • Serve as primary contact and resource for high school billing in Student Accounts.
  • Provide accurate, timely invoices, and other documentation or information to high school sponsors.
  • Facilitate posting of high school sponsor payments.
  • Answer all sponsor and student questions pertinent to high school third party requirements and billing procedures.
  • Set up high school program and third party accounts.
  • Link third party vouchers to student accounts.
  • Analyze and review delinquent accounts; reconcile vendor accounts.
  • Participate in professional development opportunities after consultation with supervisor.
  • Ensure high school third party procedures manuals are current and accurate.
  • Oversee various aspects of assisting students and high school sponsors with billing charges, past due balances, possible funding options, appeal processes, etc.
  • Process student refunds.
  • Perform as backup on military and third party processes.
  • Maintain and update Student Accounts website pages, including tuition costs, fees, and other charges. Also includes associated literature and verbiage set by Nelnet and Bank Mobile guidelines, disclaimers, bulletins, and hours.
  • Act as backup for third party billing (Ch33 payments, Transact/Cashnet Admin, Debt letter and NOIs, AP Repayment process to VA, course calculations, CH31 purchase orders/invoice submission through Tungsten, MVP comms for student status).
  • Assist Manager of Student Accounts and Controller as needed.
  • Work in conjunction with CCCS Finance to ensure all reconciling items are resolved in a timely manner.
  • Assist in year-end closing process and annual audit requests.
  • Participate in college projects, committees, and other strategic tasks as assigned.

General Duties, Skills, Knowledge, and Abilities

  • Ensure fiscal deadlines are met accurately and timely including monthly, quarterly and year-end tasks.
  • Analyze and respond timely to complex account problems and recommend needed course of action for resolution.
  • Update and maintain department reports.
  • Ability to prioritize, manage, and complete multiple projects simultaneously.
  • Act as liaison for high school sponsors and students.
  • Demonstrated evidence and understanding of the concepts of diversity and multiculturalism with their application in the workplace.
  • Analyze, review, compare, and process student refunds.
  • Provide excellent and timely customer service, phone, email, and in person contacts.
  • Create and oversee storefronts for any clubs or departments.
