The Foundation Coordinator assists the Foundation by providing programmatic and administrative management of scholarship activities and Foundation events.  The Foundation Coordinator will work in partnership with Foundation and College staff, the Foundation Board of Directors and others to ensure that the Foundation’s programmatic goals and objectives are achieved. Under the guidance of the Manager, this position has several primary areas of responsibility: administering the Foundation’s scholarship program with a keen focus on database management, raising awareness of scholarship opportunities among appropriate constituencies, providing stewardship for scholarship donors, and assist with organizing and planning events with attention to detail to create memorable and unique experiences. There will be other duties as needed.

The college offers the possibility for alternative work arrangements such as flexplace, remote work, or flextime scheduling upon completion of training and department needs.

REPORTS TO: Chief Development Officer

Minimum Qualifications

  • Completed Bachelor’s degree from an accredited institution OR completed Associate’s degree from a regionally accredited institution with two years of professional level experience performing similar duties to those described for this position OR completed High School Diploma/GED with four years of professional level experience performing similar duties to those described for this position.
  • Two years related experience in managing and administrating scholarships or grants, including budgets and reporting requirements.
  • Demonstrated experience extracting information from complex data systems for analysis and reports.
  • Experience in event planning or project management, with a successful record of planned events.
  • Demonstrated ability to work effectively with a diverse population.

Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge.  Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.

Preferred Qualifications

  • Expertise in NextGen and Blackbaud (Raiser’s Edge), Microsoft Office, Adobe Acrobat, or other student information systems.
  • Experience working with a non-profit Board of Directors.
  • Demonstrated understanding of the community college mission.
  • Experience planning and executing fundraising events.

Essential Functions 

Scholarship Program Management

  • Provide management and support in all aspects of scholarship administration processes from the application through the award life cycle including, but not limited to: application design and reviews, coordination of volunteer reviewers, and processing scholarship applications, awards and payments.
  • Oversee promotion and publicity efforts for the scholarship program to increase the number of scholarship applications, including but not limited to collaborating with Marketing to develop appropriate materials to increase awareness of scholarship opportunities and partnering with faculty and staff to disseminate scholarship information; develop and conduct presentations as needed.
  • Ensures scholarship policies, procedures, and operations are followed to ensure fiscal accountability and appropriate disbursement in adherence with donor requests.
  • Post-award monitoring of academic progress of scholarship recipients to ensure that all award conditions are met.
  • Communicate effectively and with timeliness to scholarship recipients, Scholarship Committee of the Foundation Board of Directors, and related parties.
  • Work with Marketing and IT to ensure optimal functionality of the online scholarship management system as well as website updates, as needed.
  • Plan, evaluate, and set yearly goals for the scholarship area.
  • Follow best practices of higher education advancement in the administration of scholarships and ensure compliance to all state and federal requirements.

Donor Stewardship

  • Collaborate with other Foundation staff members to ensure that appropriate and timely stewardship is conducted for/with scholarship donors.
  • Compile and report pertinent data as required by external and internal constituencies; ensures that required reports are submitted on time and accurately.
  • Take the lead role in planning and executing an annual scholarship donor recognition event.

Event Planning

  • Alongside Foundation staff and Board members, plan and manage all aspects of Foundation events.
  • Develop theme and concept for Foundation events.
  • Coordinate with vendors as needed.
  • Establish and manage committees.
  • Preparing the event budget, invoices, and payments.
  • Organizing suppliers, caterers, staff, and entertainment.
  • Coordinating the logistics of each event.
  • Anticipating needs and preparing for any potential problems.

Administration Support

  • Manage the web-based portal, Blackbaud (Raiser’s Edge), and help to maintain integrity of information in the donor database.
  • Staff the Scholarship Committee under the guidance of the Chief Development Officer for the Foundation; responsible for meeting preparations and minutes for Scholarship Committee meetings.
  • Coordinate audit and compliance procedures for internal and external scholarship file audits as directed.
  • Conduct an annual evaluation of scholarship administration procedures and make recommendations with regard to program improvements and adjustments to maintain the integrity of the process.
  • Complete special projects as assigned.

  • Update and maintain department reports.
  • Ability to prioritize, manage and complete multiple projects simultaneously.
  • Serve as primary point of contact and resource for the scholarship program and Foundation events.
  • Ability to maintain an established work schedule, including occasional evenings and weekends.
