The Financial Aid Processing Specialist provides administrative and professional expertise to the Office of Financial Aid and reports to the Assistant Director of Financial Aid. This position supports the delivery and accountability for federal, state, institutional and private financial aid funds. This position's main responsibilities are to oversee processing Federal Return to Title 4 calculations and managing the Debt and Default communications.

Reports To: Assistant Director

Minimum Qualifications

  • Completed Bachelor’s degree from a regionally accredited institution with one year of professional level experience in higher education student services (i.e. Admissions, Enrollment Services, Registrar, Financial Aid, Academic Advising, etc.) OR completed Associate's degree from a regionally accredited institution with three years of professional level experience in higher education student services OR five years of professional level experience in higher education student services.
  • Two or more years of experience with online student information systems.
  • Demonstrated experience in student relations.
  • Demonstrated commitment to working with diverse communities and supporting individuals from diverse populations, including racial, ethnic, socio-economic and gender backgrounds that are underrepresented.

Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge.  Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.

Preferred Qualifications

  • Two years of professional level employment experience in a financial aid office in higher education.
  • Demonstrated work experience in a community college.
  • Experience with Banner Student Information System or similar system.
  • Experience with interpretation of State and Federal financial aid regulations and procedures. 
  • Ability to read, write, and speak fluent Spanish.

Essential Functions 

  • Processing amounts per Federal Regulations on Financial Aid recipients who have withdrawn, failed or a combination of the two during a semester’s enrollment period. Also processes Post Withdrawal funds for students who begin the enrollment period but drop prior to census. Explain, interpret, and document the financial aid processes, procedures and regulations related to R2T4. Provide guidance to students and staff regarding the consequences of withdrawing or failing courses how R2T4 plays a role in the impact.

  • Communicate with delinquent and defaulted borrowers to assist them in obtaining satisfactory resolution to their loan repayment issues. Track and report statistics regarding delinquent or defaulted borrowers. Explain, interpret, and document the financial aid processes, procedures and regulations related to Debt and Default management. Provide guidance to students and staff regarding the consequences of loan default and how to avoid delinquency or how to repair a defaulted status.

  • Maintain job knowledge through professional development and training. Communicate policy and regulation updates that directly impact the staff and student population promptly.

  • Additional duties of similar nature relative to the role as assigned.

General Duties, Skills, Knowledge, and Abilities

  • Ability to navigate differences effectively and respectfully in the workplace.
  • Knowledge of Financial Aid resources including FSA Partner Connect and NASFAA.
  • Demonstrate ability to use Department of Education software such as EDExpress, EDConnect, FPP, NSLDS, and COD.
  • Knowledge of post-secondary education financial aid procedures.
  • Knowledge of Family Educational Rights and Privacy Act.
  • Knowledge of the Higher Education Opportunity Act and the timings of the regulations that have affected Title I and Title IV programs.
  • Excellent oral and interpersonal communication skills, including ability to make professional presentations to large groups.
  • Excellent written communication skills, including writing reports and training materials.
  • Solid computer skills, including word-processing, database, spreadsheet, and presentation software applications; fluent in internet use and navigation.
  • Skill in utilizing current student information system for providing student services and managing administrative functions.
  • Excellent problem-solving skills, with ability to handle multiple priorities simultaneously.
  • Ability to work effectively with a wide variety of constituents, including students, faculty, staff, and community members/organizations.
  • Ability to work both independently and as an effective team member.
