The Admissions Processing Specialist supports all aspects of admission application processing, international student regulatory processes, and tuition classification as part of the admissions team. This position reviews and processes admissions applications, troubleshoots issues related to applying to the college including resolving issues in Recruit CRM and Ellucian Banner, and communicates with new applicants to resolve any discrepancies or errors on their admission application. The Admissions Processing Specialist acts as a Designated School Official (DSO) by managing international student admissions and enrollment and ensuring college and student compliance with Department of Homeland Security regulations. The position acts as one of the college’s tuition classification officers who determine students’ residency status for tuition classification purposes from the admission application, follow-up documentation, and adjudication of tuition reclassification requests. Data analysis, reporting, and process improvement are key responsibilities of the position. All positions in the Student Services Division support and further the mission of Pikes Peak State College.

REPORTS TO: Assistant Director of Application Processing & Regulatory Compliance

Minimum Qualifications

  • Bachelor’s degree from a regionally accredited institution OR Associate’s degree with two years of professional level experience performing similar duties to those described for this position OR four years professional level experience performing similar duties to those described for this position.
  • One year experience in admissions processing or closely related student services area.

Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge.  Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.

Preferred Qualifications

  • Two years of experience in admissions processing or closely related student services area.
  • Experience with Ellucian Banner or other student information systems.
  • Experience with customer relationship management (CRM) systems such as Recruit, Salesforce, or other higher education CRM system.
  • Experience working with international students.
  • Ability to read, write, and speak fluent Spanish

Essential Functions

Admission Application Processing

Evaluate and process admissions applications. This work requires use of the college’s Customer Relationship Management (CRM) System, Recruit CRM and Student Information System (SIS), Ellucian Banner. The position is responsible for troubleshooting technical and customer-service-related issues regarding applying to PPSC, including identifying suspected fraud applications. The position will also collaborate with selective admissions programs to develop processes that meet the needs of selective programs in an open admissions institution.

International Students

Act as a Designated School Official (DSO) and primary contact for prospective and current international students at PPSC and guide students through becoming and remaining a student. This position admits or denies international students to PPSC on a case-by-case basis based on evaluation of their application as it pertains to Department of Homeland Security admissions requirements. Advise admitted international students and evaluate students against F1 & M1 federal visa compliance criteria. This position casemanages international students and administers decisions related to compliance. Reports back to the Department of Homeland Security and ensures that the college maintains its certification of eligibility to host international students.

Tuition Classification

Serve as one of the college’s tuition classification officers who has the authority to make tuition classification decisions. Make decisions on initial tuition classification and reclassification of new and existing students based on state and federal laws, CCCS policy, and PPSC guidelines. This position works with students to advise, inform, and educate them about tuition classification law, guidelines, and procedures and provide students with the support to understand tuition classification. Processes tuition classification documents and forms. Provides training and guidance to student-facing staff in student services related to tuition classification.

Analysis and Reporting

Compile, analyze, and report on information related to all aspects of admissions. Evaluate processes and technology related to admissions to improve the student experience and efficiency of the department.

Additional Admissions, Recruitment, and Enrollment Services Activities

Participate in Admissions, Recruitment, and Enrollment activities. Serves on college-wide teams and committees as requested. Attend pertinent professional development workshops/conferences as timing and funding permits. Perform other duties and projects as assigned.

  • Ability to manage multiple tasks and meet deadlines.
  • Understanding of equity and inclusion in higher education and the workplace.
  • Knowledge of state and federal laws, system policies, and college procedures related to admissions, international students, tuition classification, and enrollment.
  • Knowledge of student and enrollment services in higher education.
  • Ability to develop and maintain effective working relationships.
  • Ability to work remotely or on-campus as needed.
