The Enrollment Services Specialist position is responsible for providing admissions counseling and enrollment services related to admissions, registration, records, and financial aid to prospective, new, and current students at Pikes Peak State College. This position is assigned a caseload of newly admitted students. Enrollment Specialists work with admitted students to provide detailed information about and help with the enrollment process, academic programs offered at the college, and work with student’s in- person, on the phone, via email, and text to complete the steps to enrollment.

The college offers the possibility for alternative work arrangements such as flexplace, remote work, or flextime scheduling upon completion of training and department needs.

Minimum Qualifications

  • Bachelor's degree from a regionally accredited institution OR Associate’s degree with two years of experience performing similar duties to those described for this position OR four years of experience performing similar duties to those described for this position.
  • One year of experience in admissions, enrollment, other services areas outside of education.

Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge.  Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.

Preferred Qualifications

  • Two years experience in admissions, enrollment, or other service areas outside of education.
  • Demonstrated experience working directly with students in a student services setting.
  • Ability to read, write, and speak fluent Spanish.

Essential Functions 

Admitted Student Admissions Counseling Case Management

  • Manage assigned caseload of admitted students to advise them through enrollment procedures to include: completing financial aid, paying tuition, setting up refund options, resolving issues related to residency, applying for and authorizing COF, using EAB Navigate and the MyPPSC Student Portal, setting up student email, first term registration, and connecting them with their Academic Advisor for long-term planning.
  • Conduct pro-active outreach via text, email, and phone to a caseload of admitted students and a caseload of non-retained students with the goal of meeting with students to complete all enrollment processes.
  • Initiate enrollment efforts to increase the applied to enrolled yield and reduce the number of students who drop courses by proactively working with applicants and providing them with the knowledge to empower them to navigate the enrollment process and be prepared for the semester to start.
  • Solve problems before the students know they have them while maintaining the ability to respond to requests and alerts for assistance from students who indicate they are feeling frustrated or unsure about issues related to enrolling at PPSC.
  • Schedule and conduct appointments and other enrollment programming/workshops to assist and empower students to successfully complete the enrollment process.
  • Develop relationships with students by calling, email or text to set up appointments and provide superior student service to ensure they are prepared for classes with PPSC.

Enrollment Advising

  • Provide high quality customer service to prospective, new, and current students; as well as PPSC faculty, staff, and the general public.
  • Provide front desk and call center coverage for Enrollment Services when needed during peak times.
  • Provide direct service to students in-person, on the phone, through email and text messaging to determine the student’s needs and provide service as appropriate through immediate solution or referral to the appropriate person or department.
  • Collaborate with appropriate faculty and staff to support Student Services departments (including, but not limited to, Advising, Financial Aid, Records and Student Accounts) and the college.
  • Provide comprehensive and detailed guidance for second level issues for Admissions, Recruitment, and Enrollment Services related questions as well as anything related to registering for classes. This includes but is not limited to questions/issues regarding: the admissions application, applying to the college, residency status, registration holds, the financial aid and scholarship processes, the enrollment process, cost of attendance, etc.
  • Use Banner student information system, Recruit CRM, EAB Navigate and Signal Vine to access student records, update student information, and communicate with students.
  • Explain college, state, and federal policies, procedures, and information related to admissions, enrollment, financial aid, placement, and student services to internal and external customers.
  • Establish and maintain notary license and notarize documents as necessary.
  • Provide input on improving processes and procedures related to providing enrollment service to students working through financial aid, records, or other department’s procedures.

Prospective Students Admissions Counseling

  • Advise prospective students and their families to identify academic and career areas of interest, how those interests fit into a degree program at PPSC, and assist them with applying to PPSC, resolving residency questions, applying for financial aid, and understanding the placement, advising, and registration process.
  • Represent PPSC at recruitment events and community functions as needed.
  • Recommend and direct students to appropriate campus resources including Academic Advising, Accommodative services, Military and Veterans Programs, and other student support services as appropriate.
  • Utilize customer relationship management software and student information system software to track student progress, communicate with students, and record application, enrollment, and financial aid information.
  • Advise and coach walk-in prospective students who are interested in learning more about PPSC and who are exploring where to go to college.

Document Processing

  • Process student files and other documents received in support of helping students complete the enrollment process.
  • Process documents accurately according to a standard operating procedure.
  • Participate in quality control processes and procedures to ensure and improve document processing.

  • Demonstrated ability to network and build professional relationships with students, staff, faculty, and community members.
  • Ability to work a flexible schedule including evenings and weekends to accommodate programming and outreach needs.
  • Knowledge of college processes, academic programs, and relevant state and federal policies and regulations.
  • Experience developing traditional or web-based programming materials for presentations, events, workshops, etc.
  • Knowledge of career assessments.
  • Knowledge of current labor market trends and career information resources.
  • Knowledge of Colorado residency classification law, policies, and procedures.
  • Knowledge of federal financial aid processes and procedures.
  • Ability to learn and use multiple software systems to support operations.
  • Demonstrated experience with Microsoft Office Word, Excel, PowerPoint, and Outlook.
