This position coordinates, organizes and manages department operations, overseeing budget, data requests, and executive support to the Vice President.

The college offers the possibility for one remote workday upon completion of training and department needs.

Minimum Qualifications

  • Completed Bachelor's degree from a regionally accredited institution, OR completed Associate's degree with two years of professional level experience performing similar duties to those described for this position.
  • Demonstrated experience managing and coordinating department/division operations.

Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge.  Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.

Preferred Qualifications

  • Two or more years of experience managing and coordinating department/division operations.
  • Demonstrated appreciation of the community college mission.
  • Experience organizing events.
  • Executive assistant experience.
  • Budget experience.

Essential Functions

Department Operations: Exercises initiative, judgment, and discretion in organizing and managing department operations. Ensures deadlines are determined and meets deadlines. Organizes a variety of projects, facilitating processes, and preparing reports and forms. Coordinates and directs a variety of events, including, leadership retreats, statewide meetings, and leadership trainings. Holds others accountable for providing information and reports. Researches and responds to a variety of challenges and solutions. Flexible with ability to handle multiple tasks efficiently. Highly positive demeanor and professional approach. Ability to engage and collaborate with individuals at all levels both internally and externally across the college. 

 

Event Coordination: Coordinates events such as the Employee Recognition Luncheon, Service Awards Ceremony and luncheon including the management of invitations, reserving locations, coordinating times, meals, associated IT equipment; strong knowledge of Microsoft TEAMS, Zoom and webinar. Ensures timely prioritization and track tasks to completion. Assists with event planning, coordinate travel arrangements and maintains expense records. Collects documentation to identify appropriate path to complete reimbursements. Assist with scheduling professional development, track attendance, and distribute materials.

 

Executive Support: Provides executive support to the vice president, including tracking and assisting with litigation holds, Colorado Open Record Act (CORA) requests, maintaining records and data requests, distributing notices, screen and schedule appointments, coordinate meetings. Supports processes to review, edit, and post PPSC Operational Guidelines, and similar documents. Reviews, organizes, drafts, and completes correspondence in a responsive and professional manner. Research, respond, resolve conflict management. Ability to research within an HRIS data system (Banner) or similar system.

  • Demonstrated the ability to analyze and prepare budgets and data reports.
  • Ability to perform at a high level, and with a calm and positive demeanor, in a fast paced and stressful environment.
  • Critical thinking and analytical skills.
