The High School Programs Business Professional provides high-level administrative, financial, operational, and logistical leadership to support the effective delivery and expansion of High School Programs. This position serves as a key operational partner to the Senior Director, ensuring alignment across budgeting, contracts, purchasing, events, staffing, and partner coordination. The role manages complex financial and contractual workflows, supports compliance and reporting requirements, and ensures that program operations remain organized, timely, and responsive to the needs of students, school districts, instructors, and institutional partners. Through proactive planning, precise execution, and collaborative problem-solving, this position strengthens the operational infrastructure necessary to sustain high-quality, scalable High School Programs.

 REPORTS TO: Senior Director of High School Programs

Minimum Qualifications

  • Completed baccalaureate degree from a regionally accredited institution.
  • Demonstrated experience managing budgets, financial tracking, or purchasing processes with a high degree of accuracy.
  • Demonstrated organizational skills and ability to manage multiple complex projects, tasks, and deadlines simultaneously.
  • Experience preparing professional correspondence, reports, and administrative documentation.

Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge.  Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.

Preferred Qualifications

  • Experience supporting MOUs, or other employment agreements in an educational or public-sector environment.
  • Experience coordinating events, meetings, or large-scale logistics.
  • Familiarity with Colorado Community College System (CCCS) processes, concurrent enrollment, Career Start, Campus Pathways, or similar programs.
  • Experience supervising or coordinating the work of support staff or student employees.
  • Ability to read, write, and speak fluent Spanish.

Essential Functions 

The High School Programs Business Professional provides comprehensive operational and administrative leadership across budget management, contracts and agreements, event coordination, staffing support, and division-wide workflow management to ensure efficient, compliant, and well-coordinated High School Programs operations.

 Budget, Finance, and Purchasing Support

  • Manage the annual Career Start budget, including forecasting expenditures and accounting for instructor supplemental pay.
  • Create encumbrances and process purchase orders for program materials (e.g., uniforms, textbooks, licenses) to ensure timely procurement and distribution.
  • Prepare and submit Campus Pathway instructor compensation paperwork in alignment with FLAC deadlines and institutional requirements.
  • Oversee invoicing to partner districts for High School Programs services, including Additional Student Support Services, Inclusive Access, PIVOT, Campus Pathway instructor costs, and Articulation.
  • Track incoming payments and maintain accurate financial records and reconciliation documentation.
  • Develop and publish clear financial information resources for partners outlining Career Start costs, timelines, and commitments.
  • Maintain detailed financial logs, spreadsheets, and reconciliation records for P-cards, vendor payments, and program accounts.
  • Manage inventory of promotional and engagement materials used for outreach, events, and partner engagement.

Contracts and MOU Administration

  • Track Cooperative Agreements, Instructor Contracts, Revenue Contracts, MOUs, and related documentation to ensure accuracy, completeness, and timely execution.
  • Route contracts and agreements for required reviews, signatures, and approvals in alignment with institutional policies.
  • Develop and maintain an organized, shared filing system for all contracts and MOUs to ensure consistent access, version control, and compliance.
  • Coordinate and secure Career Start field trip transportation solutions with partnering districts, including managing related contracts and agreements.

 Event Planning and Logistics

  • Develop and maintain a future school district comparison calendar to support long-range scheduling optimization.
  • Complete Official Functions forms for all High School Programs meetings and events involving expenditures.
  • Coordinate room reservations with FLAC, ensuring appropriate space, capacity, technology, and A/V accommodations.
  • Manage event calendars, publish agendas in a timely manner, and record and distribute clear, accurate meeting minutes.
  • Prepare and coordinate distribution of all event materials, including handouts, promotional items, and supporting documentation.
  • Coordinate food, refreshments, and hospitality elements to create a welcoming and professional environment for meetings and events.
  • Plan and organize student engagement experiences, including celebrations and field trips.
  • Coordinate major High School Programs events (e.g., Career Start Visit Days, Articulation Day, Parent Nights) by managing messaging, sign-ups, agendas, schedules, maps, presenters, facilitators, and all related logistics.

 Staffing and Student Employee Coordination

  • Support the recruitment, hiring, onboarding, scheduling, and evaluation of student employees.
  • Maintain student employee schedules, performance documentation, and communication to ensure consistent office coverage and smooth daily operations.
  • Provide guidance, oversight, training, and task prioritization for the High School Programs Administrative Assistant.

 Operational Support to the Senior Director

  • Provide administrative and operational support across all High School Programs initiatives, including document management, report preparation, compliance tracking, and deadline monitoring.
  • Collaborate closely with the Senior Director to ensure alignment across program operations, district communication, budgeting, instructor support, and student processes.
  • Support continuous improvement efforts by identifying operational efficiencies, process enhancements, and risk mitigation strategies.

  • Support planning, execution, and follow-up for meetings, events, and initiatives.
  • Balance multiple priorities, deadlines, and stakeholders while maintaining accuracy and professionalism.
  • Perform other duties as assigned to support the mission and strategic priorities of High School Programs and Pikes Peak State College.
