This position provides dental programs student support and quality customer service to individuals at the Delta Dental Oral Health Career Center (DDC). Support the students by tracking their required clinical procedure completion, data reporting for the completion requirement, and tracking against student graduation requirements as specified by the Commission on Dental Accreditation (CODA). Coordinate the clinical rotations at the Dental Center and coordinate the clinical schedule and patient appointments for each student. Assist in the daily academic and operational functions and manage patient health informatics, care scheduling, Medicaid preauthorization and claim processing as well as payment management.
The college offers the possibility for alternative work arrangements such as flexplace, remote work, or flextime scheduling upon completion of training and department needs.
Anticipated start date October 2025.
Minimum Qualifications
- Completed bachelor’s degree from a regionally accredited institution OR completed associate degree from a regionally accredited institution with two years of professional level experience performing similar duties to those described for this position.
- One year of professional level work experience in a dental or healthcare office.
- Experience with dental office management software.
Professional level experience is defined by the Colorado Division of Human Resources: A position that involves the exercise of discretion, analytical skill, judgment, personal accountability, and responsibility for creating, developing, integrating, applying, or sharing an organized body of knowledge. Colorado revised statute (C.R.S. 24-50-135(1) allows colleges to exempt positions from the State Personnel Classified System that are determined to be professional level work.
Preferred Qualifications
- Experience with dental terminology.
- Familiarity with Ascend Academic.
- Bilingual in Spanish.
- Two or more years of professional level work experience in a dental or healthcare office.

Essential Functions
- Create a welcoming atmosphere for positive student and patient experiences and satisfaction.
- Inform patients regarding clinic policies and procedures, ensuring compliance with patient privacy notification.
- Answer phone lines, take messages, check emails.
- Maintain electronic software databases.
- Check and distribute mail, sign-in packages, notify deliveries.
- Refill/monitor student use items (printers, etc.), clean when necessary.
- Must be able to lift 40 lbs.
- Collaborate with software company, PPSC IT department, and the Dental Center Director in the design and integration of electronic records for patient assessment and care implementation.
- Collect patient data and generate reports required for maintenance of the American Dental Association Commission on Dental Accreditation (CODA).
- Procure aggregated and individual student performance data to assess clinical progression.
- Assist Dental Center Director in updating of D2L Learning Management System for the dental hygiene and dental assisting programs.
- Track data for validation of student experiences with special needs patient populations as required for accreditation compliance.
- Track student radiographic imaging experiences and clinical procedure completion for accreditation compliance.
- Address and resolve initial patient complaints.
- Coordinate the clinical rotations at the Dental Center and coordinate the clinical schedule and patient appointments for each student
- Serve as liaison between patients, students, and faculty.
- Handle fee collection, deposits and accounting ledgers.
- Process dental clinic Medicaid preauthorization and claim forms.
- Perform related duties as assigned.
General Duties
- Support dental hygiene and dental assisting students in the clinical courses.
- Greet all visitors and users of the DDC.
- Provide pertinent information regarding academic and operations of the Health Sciences division, DDC, and Rampart Range campus.
- Answer phone calls, respond to emails and voicemails.
- Assist administrative staff.
- Restock printing and student use items.
- Coordinating health informatics and patient care in the clinical setting.
- Ensure compliance with federal HIPAA & FERPA regulations.
- Utilize dental patient management software to develop electronic health records for Dental Center patients.
- Maintain fiscal records and fee collection and processing.
- Effectively represent the Dental Center and the dental hygiene and dental assisting programs to patients, vendors, and the surrounding community.
Knowledge, Skills, and Abilities
- Employee should be personable and professional, be customer service and team oriented, and be able to provide a variety of support when necessary.
- Proficient in Microsoft Suite applications (Word, Excel, Outlook, and SharePoint, etc.) and familiar with dental industry specific software.
- Ability to balance multiple priorities; adapt readily to changing priorities, frequent interruptions and fluctuating volume of work as required by work cycles.
- Utilize time effectively without close supervision.
- Identify and implement improvements to systems and processes.
- Meet deadlines and resolve issues productively.
- Interact effectively with patients, students, and faculty.
- Ability to take direction and willingness to grow.
